Read tracking milestones and respond to exceptions

Treat tracking as a record of events, then ask a focused question when progress stalls.

Interactive explainer

From supplier to recipient

  1. 01 Collect

Match products and parcel references before suppliers hand over the goods.

  2. 02 Prepare

Check, measure and pack the shipment. Keep each carton linked to its contents.

  3. 03 Transport

Send the prepared shipment through the booked international service.

  4. 04 Deliver

Complete destination procedures and confirm the final delivery record.

01

Read the event

Label creation is not proof of carrier collection. Look for acceptance, departure, arrival, clearance and delivery events. Scan times describe recorded activity, not continuous location; long gaps can occur between milestones without proving the shipment is lost. Customs data may be reviewed before physical arrival, so processing messages can appear out of sequence.

02

Identify the next action

For a clearance or delivery exception, read the detailed message first. Ask whether documents, payment, address confirmation or a delivery appointment are needed. Verify requests through the carrier’s official channel before sharing information or paying. An exception describes a problem to investigate; it does not automatically mean seizure or loss.

03

Keep a case record

Send support the shipment reference, latest event, relevant dates and the action already taken. Request a case number and the next update point. If delivery is recorded but goods are missing, check the delivery evidence and contact the carrier promptly. Keep personal details and shipment documents in private support channels, not public tracking comments.

04

Example: clearance needs an invoice

Suppose tracking requests more shipment information. Ask which invoice field is missing rather than sending unrelated documents repeatedly. Correct the description or value using genuine records, and confirm who will submit the revision. Keep the earlier version and approval trail. Supplying a document does not itself prove that customs has released the goods.

05

Connect the tracking references

A forwarding reference, international waybill and final-mile number can identify different legs of one journey. Record their relationship instead of assuming a new number means a new shipment. Check event location and time zone when comparing scans. Where several cartons travel together, confirm whether the status covers every carton or only the master shipment.

06

Agree when to escalate

Base follow-up on the service promised, the last meaningful event and any document deadline, rather than an invented universal waiting period. Ask for a clear next action and responsible team. Before approving storage, return or redelivery, confirm cost, authority and alternatives. For suspected loss or damage, preserve claim rights while the investigation continues.

Before you ship

  • Save the latest event and its timestamp.
  • Ask who owns the next action.
  • Keep support replies with the shipment record.
